PaycheckCity Privacy Policy

This privacy policy applies to you if you are a PaycheckCity Payroll customer, a PaycheckCity user, or a visitor to PaycheckCity.com. This policy describes the types of data that we collect, the reason for collecting it, how we use and process it, when we may disclose your data, your privacy rights with respect to your data, and how you can exercise those rights. If you are our customer, please also read any signed agreement between us, as it may contain further details about how we collect and process your data. Consult this Privacy Policy periodically to check for updates.

When and how we collect your data

When you visit our web site or use our products or services, we collect data. Sometimes you provide us with data, sometimes data about you is collected automatically.

Data is collected automatically when you:

  • Use the chat feature of our web site
  • Use our products or services
  • Contact us for support

You give us your data when you:

  • Opt-in to receive emailed newsletters or other marketing messages

Types of data we collect

Contact details

Your name, address, and email address, nonresident alien status, tax filing status, and number of dependents.

Employee information

If you use PaycheckCity Payroll, we collect federal and state employer identification numbers, as well as information about your company and your employees’ home and work addresses to compute payroll tax calculations. We will also store any other information that you choose to enter into the calculator. You remain the data controller for any of your employees’ or other workers’ personal data.

Data that identifies you

Your IP address, email address, browser type and version, time zone setting, browser plug-in types, operating system and version.

Data on how you use our web site

Your URL clickstreams (the path you take through our site), products/services viewed, page response times, download errors, when you visit our pages and how often, how long you stay on our pages, what you do on those pages, and other actions.

What about sensitive data?

We do not collect any “sensitive data” (like racial or ethnic origin, political opinions, religious/philosophical beliefs, union membership, genetic data, biometric data, health data, data about your sex life or orientation, precise geolocation data, or criminal history) except when we have your specific consent, or when the law requires us to. We ask that you not provide us with sensitive data or use our products to process sensitive data.

What about children’s data?

PaycheckCity and its services are directed to and intended for use only by those who are 16 years old or older. We do not target PaycheckCity at children, and we do not knowingly collect any personal data from any person under 13 years old. People under 13 years old should not visit or use PaycheckCity.com.

Other information

We also collect non-personal information that gives us insights into who is visiting our site. This information may include company size, industry, and job function.

How and why we use your data

Data protection laws in some places provide that we can only use your data for certain reasons or if we have your permission to do so. We process your data only for the following purposes:

Operating our products and services

Managing your use of our products and services, login and authentication, remembering your settings, processing payments, hosting and back-end infrastructure.

Improving our products and services

Testing features, interacting with feedback platforms and questionnaires, managing landing pages, heat mapping our site, traffic optimization and data analysis and research, including profiling and the use of machine learning and other techniques using your data.

Improving our web site

We may allow third-party providers to record information about the usage of our site, demographics, location and other information, and report that information to us so we can understand how people interact with our website and services and continually improve it for users.

Customer support

Notifying you of any changes to our service, solving issues via live chat support, phone or email including any bug fixes or scheduled downtime.

To enforce our rights and the rights of others

Enforcing our rights under this Privacy Policy, our Terms of Use, and any other agreements between us, or to enforce other rights that we or others may have under applicable law. We may also disclose your data when we have a good faith belief that we need to disclose it in order to comply with the law or a legal process, such as a subpoena or a government investigation.

Marketing purposes

If you provide us with your contact information, we may send you emails and messages (including via social media) about new features, products and services, compliance updates, thought leadership, and content.

If you have previously given consent to send you marketing emails or to use your data to advertise to you, and you wish to withdraw your consent, please see the How to Contact Us section at the bottom of this policy to withdraw your consent. You can also unsubscribe to these communications at any time.

Affiliates and mergers

We may share your data with our affiliates for the purposes outlined above. We may also be required to share your data if we sell, merge, or transfer any part of our business or take on new investors.

Third party service providers

Sometimes we may need to share your data with third parties. For example, we store data on Amazon Web Services. Other third party service providers help us operate, maintain and improve our site, including Okta for single sign-on, Stripe for payment processing, Crazy Egg for traffic analysis, error tracking, and testing, LogRocket for user analytics and defect detection, and Intercom for customer service. Your data is shared with third parties only when necessary and according to the safeguards and practices detailed in this Privacy Policy.

Our agreements with those third parties generally provide that personal data may not be used for any purpose other than to provide the service, but third parties’ use and processing of your data is governed by those companies’ privacy policies. Those policies can be found here:

How long do we store your data?

We will delete and stop actively using any personally identifiable information about you promptly after you ask us to do so, if we are able to verify that the request is made or authorized by you. We may store data that is not personally identifiable information for longer periods.

Information about others

If you provide us with personal information about other people, or if others give us your information, we will only use that information for the specific reason for which it was provided to us. By submitting the information, you confirm that you have the right to provide us with the data and to allow us to collect, use, process and store it.

International transfers of data

Paycheck City and Paycheck City Payroll are designed for use by residents of the United States only. We will not transfer your data outside of the United States without your permission. If you reside outside of the United States, your use of our web site or our products means that you agree that we can transfer and process your data outside of your country of residence, which may have different data privacy laws. If you do not consent to this transfer, then you do not have permission to use our site or our services, or to provide us with your data.

Like most web sites, we use cookies and similar electronic devices. Cookies are text files stored on a user's computer. They contain information about the user, such as information about devices and networks used to access our website. Cookies record information about your interactions with our website, products and services, and are used for user authentication and to provide you with information based on preferences that you have indicated while using our site.

We may use your data to determine whether we should let you know information that might be relevant to you (for example, tailoring emails to you based on your behavior when visiting our site). Otherwise, the only circumstances in which we will do this is to allow you to use our products and services.

You can do this by asking us to erase any personal data we hold about you or any consumer if it is no longer necessary for us to hold the data for purposes of your use of our products or services. If you have submitted your personal data when placing an order, it is necessary for us to hold that data to enable you to use our products and services.

If we are unable to delete personal data for a valid legal reason, we will tell you why, we will only retain the personal data for that reason, and we will delete the personal data after the reason for keeping it no longer exists.

If you choose to do this, you can continue to browse our website and use our free calculators, but we will not be able to process financial transactions without personal data.

  • You are responsible to protect your username and login credentials: keep them secret and secure

  • If you are using a registered site, do not disclose your login credentials to anyone
  • Sign out of any registered site and close your browser window when you have finished your work
  • Do not enter sensitive data, and provide only the information that is needed in order to use our site and services
